In the past two weeks we have made several enhancements and bug fixes. These changes will take effect on Wednesday, July 11th, 2012, 8:30PM EST.
Please note that some of these features are beta options that must be turned on by your Brightidea representative. We have thoroughly tested these new enhancements and fixes to ensure high quality before allowing them into production. Release Focus - Streamlined Proposal Documentation (BETA)
We are providing a new workflow that streamlines and enhances the development and scorecarding of proposals. The new proposals workflow involves several new features and concepts introduced in the 6/27 release of Idea Scorecarding, as well as additional new features. Below is a summary of the new features. More information can be found in the Proposal Flow Guide PDF.
Note that the features detailed below are currently beta options. Please contact your Brightidea representative to have these features enabled.
Batches
- Proposals may be added to batches to manage development and scorecarding
- Proposals may be dragged to a batch from Switchboard or added from the round menu
- Proposals within a batch have three different icons during development
- Unassigned: The round has been configured for proposals, but no action items have been assigned
- Assigned/pending: Proposal action items for the round have been sent, but are pending commit from the proposal owner
- Complete/committed: The proposal owner has committed the proposal
Each icon represents a stage in proposal development.
Proposal Round Configuration
- Just like rounds may be pre-configured for scorecarding, they may also be configured for proposal development
- Proposal round configuration allows users to preselect the following settings:
- Proposal template
- Due date
- Number of days for automatic smart reminder (detailed below)
- Email notification template
- Email notification body
- Proposal Owner may also be changed from the round menu
- Once these settings are saved, ideas dragged into the batch from WSA will automatically generate proposals with these settings
- NOTE: Proposal action items will not be assigned until selecting Assign Proposal from the round menu or in the round configuration screen
- When proposal configuration of the round is complete, action items may be sent.
- Proposal owners will receive an action item and an email notification
Editing and Committing a Proposal
- Once users are made Proposal Owner, they may edit and complete the proposal
- Proposal Owners may add Team members, who can help edit the proposal and save changes
- NOTE: Only the Proposal Owner receives an action item
- Once the proposal is complete, the Proposal Owner may commit the proposal
- Committing the proposal completes the action item; a link to the proposal is available in the Action Items Closed tab
Automatic Smart Reminders (BETA)
- Automatic smart reminders have been added to the proposal and scorecard configuration menus
- Users may select a specific number of days before the due date to send an email reminder to proposal owners/evaluators who have not completed their action item
- Users may select from 1 to 7 days in advance of the due date to send a reminder
- Users may “Do Not Send” to not send a reminder
- Only one reminder email notification is sent per round
Batches Enhancements (BETA)
- Several changes have been made to batches:
- Batch titles are now limited to 50 characters
- Due dates may now be changed after proposal and scorecard action items have been assigned. To change action item due date:
- After assigning a proposal/scorecard action item, select configure proposal or scorecard
- Select a new due date
- Select “Save”
Ad-Hoc Proposal Creation (BETA)
- Proposals may now be created directly from Switchboard Action menu
- This option is only available for System Admins
- The following criteria are required:
- Proposal title
- Proposal description
- Proposal template
- NOTE: Proposal owner is automatically the System Admin who created
- With this option enabled, ideas may be added to a proposal via an add/edit popup, allowing users to add related ideas to ad-hoc-created proposals
Rules Engine (BETA)
- The Rules Engine allows admins to set up automated processes for WebStorm. The Rules Engine will allow automated status changes and email triggers based on sets of user-defined conditions.
- When enabled, the Rules Engine will appear in:
- WebStorm Admin > Setup > WebStorms > Rules Engine
- Admins may create an unlimited number of rules, tied to individual WebStorms
- NOTE: Rules are not applied to Enterprise-level
- Rules consist of:
- A rule name
- A rule event trigger (only one selected at a time)
- A condition(s) that must be met to trigger
- The result action
- Once created, rules may then be activated or deactivated

Additional Enhancements
The following additional enhancements have been made throughout the Brightidea suite. For your convenience, they have been categorized by product.
- Creating new WebStorms will truncate any WebStorm titles over 50 characters.
- "WebStorm Admin", "Switchboard" and "Pipeline" tabs may now be opened in different browser tabs within the Suite.
- Enterprise reports now filter through different date logic:
- The default "start date" is always 6 months prior to the current date, will include records through 11:59PM on the end date selected
- Registration invite “Recipients” and “View” links now function correctly
- Invalid vanity URLs may no longer be saved
- Team idea submission now appears properly in activity feed
- Special characters now appear properly in idea categories and idea submission form dropdown answers
- Idea attachment filenames with single-quotes (‘) will now have the single-quotes removed before uploading
- Idea and idea comment attachments are now supported in IE8 and IE9
- Average score column now displays correct average score and can be sorted
- Idea hover-over tooltip now displays without showing HTML
- Added confirmation messages for the following actions:
- Adding tags to ideas
- Adding Admin labels
- Idea grid exports now respect bookmark filtering
- Added new “Assign By” dynamic field to proposal and scorecard email notification templates
- [ASSIGNED BY] lists the System Admin or Batch Admin who assigned the proposal or scorecard action item
- Added “Scorecard” column to All Proposals/My Proposals grid
- Hovering over icon initiates information popup
- Clicking icon directs to scorecard summary
- For multiple scorecards, popup appears with summary of information
- Fixed the total possible point calculation for Scorecard Summary Diagrams (BETA) hoverover tooltips
- Special characters now render properly in proposal fields
- Proposal and scorecard templates that are currently in use in the system may no longer be deleted
- Attempting to delete a proposal/scorecard template in use initiates a popup
- Fixed an issue for proposal templates in which Additional Information and Related Idea Information would always appear
- Selecting “Cancel” from a proposal action item directs to the originating page (Action Items page or Member Landing page)
- Updated confirmation message UI for the following actions:
- Saving proposal and scorecard template
- Saving proposal and scorecard email template
- Updated UI for attach file to proposal popup
- Exports from My Proposals/All Proposals grid now includes all columns
- Round “Completed” column showing number of committed scorecards now accurate
- Added APIs for the following data
- Action Items
- Proposals
- Idea Scorecards
- Proposal Team
- Proposal Evaluation
- Scorecard URLs have been updated to be shorter and easier to use
- Fixed uploading attachments for proposal fields
- Fixed several UI issues with Internet Explorer 9:
- Round menu now shows complete option title
- Round proposal and scorecard configuration due date now visible
- Changing project owner no longer changes the project page
- Updated UI for Pipeline and project views
- Updated confirmation message UI for the following actions:
- Creating a project
- Adding projects to portfolio
- Changing project status
- Updated UI for the Create Project popup
- Updated confirmation message UI for the following actions:
- Fixed adding attachments to todos
- Changing project owner no longer breaks project page
