Hackathon Forms (BETA)

Important Notes:

  1. This feature is currently in Beta development.
  2. Please speak to your Customer Success Manager if you would like to enable this functionality.

The Forms feature allows Administrators to build custom questionnaires within the Hackathon Team Site and automatically send them when a specific activity occurs on the platform, such as when an idea is submitted or voting begins. Each form also has its own URL for direct sharing, and all responses can be viewed, managed, and exported from the form's results page.

Accessing Forms

  • Navigate to Pipeline Setup.
  • In the left rail, select Forms under Email Alerts.

Creating a Form

  • Click the Create New Form button.
  • Enter a name for your form when prompted.
  • Once the form is named, you will be taken to the form editor.

Configuring Form Settings

At the top of the form editor, configure the following:

  • Form Title- The title of the questionnaire that recipients will see when the form is sent to them.
  • Trigger- The trigger determines when the form is sent. Triggers are based on common user behaviors and activities within the platform, including:
    • Idea Submitted
    • Idea Edited
    • Removed from Step
    • Added to Step
    • Voting Started
    • Initiative Started
    • etc.
  • Recipients- Depending on the trigger selected, you may be able to specify who receives the form:
    • For triggers such as Initiative Started, you can add specific groups or individual participants as recipients.
    • For idea-based triggers such as Idea Submitted, the form is sent automatically to the person who submitted the idea, and no additional recipients need to be configured.

Adding and Editing Form Fields

In the form fields section, add the questions you want to include. The following field types are available:

  • Short Answer
  • Long Answer
  • Drop-down
  • Multiple Choice
  • Checkbox
  • Number
  • Date
  • Instruction Text Box

After selecting a field type, add the corresponding details for that field, such as the question text and any answer options.

Questions can be reordered at any time to change the order in which they appear on the form.

Previewing and Testing a Form

A live preview is shown as you build, so you can see how the form will appear to recipients. You can also open the form directly to test it end-to-end, including all questions and the submission experience.

Note: Be sure to click Save to keep your changes to the form.

Sharing a Form with a Custom URL

Every form includes a custom URL. In addition to sending the form automatically through the selected trigger, you can share this URL directly with any individual you want to complete the form.

Viewing and Exporting Results

You can view a form's results at any time by selecting See Results. Each row represents a single response and shows the submitter's email address and the submission timestamp.

From the results page, you can:

  • View an individual response
  • Delete an individual response
  • Export all responses to a CSV file
