Administrators may want to deactivate or delete users for a variety of reasons, including deleting sample data or removing users who have left the organization.
Users can be deactivated or deleted in two locations: System Setup and People Pillar
Deactivating a User
Deactivating a user will retain their data, such as submissions, votes, and comments. The deactivated account will no longer have access to your system, and will be prevented from logging in. If the user has an active session open, the next time they attempt to view or load a page, they will be logged out and not allowed to log in.
To deactivate users:
From the People Pillar
To deactivate users from the People Pillar:
- Navigate to the People Pillar from the Global Navigation gear menu, or from the Administrator Pillar navigation
- In the People Pillar users list, search and select a user to view their information
- Select the "..." button on the right to display options for the user
- Select "Deactivate User" option from the menu
- Once deactivated, the user can also be reactivated from this menu
From System Setup
Users can also be deactivated from System Setup:
- Navigate to System Setup > Users > Manage
- Search and select a user to view their information
- Select the "Deactivate" button
- Once deactivated, the user can also be reactivated from this view
Deleting a User
Deleting a user will permanently remove all data and activity related to their account, including submissions, votes, comments, and completed action items. Once deleted, their data can no longer be restored.
To delete users:
From People Pillar
- Similar to deactivating a user, navigate to the People Pillar from the Global Navigation gear menu, or from the Administrator Pillar navigation
- In the People Pillar users list, search and select a user to view their information
- Select the "..." button on the right to display options for the user
- Select "Delete User" option from the menu, which will display a confirmation popup summarizing the data from the user that will be deleted
- Check the box to acknowledge and select "Delete User" to delete
From System Setup
Users can also be deactivated from System Setup:
- Navigate to System Setup > Users > Manage
- Search and select a user to view their information
- Select the "Delete" button, which will display a confirmation popup summarizing the data from the user that will be deleted
- Check the box to acknowledge and select "Delete User" to delete
Please Note: Deleting a user cannot be reverted. All data related to the user will be permanently deleted.
When you block a user does he/she becomes invisible?
Thanks guys!
In a sense yes, they will not have access to login - but any previously submitted ideas will still have his or her name. Their record and stats are still kept within the system.
So, when a user is blocked, is their license freed or would they need to be deleted?
Looking forward to the answer to Patrick's question - for example if/when individuals leave our organisation; we want to keep their history so "blocking" is the right option, but it would be good if they no longer counted towards our total number of licences.
@Patrick and @Graham - deactivated users do not count towards licensed user count.
Thanks,

Claus - thanks for the answer. Good to hear that common sense prevails!
Can a user cancel his/her account by his/her own?
That would be quite important for public initiatives.
Luca,
It's not possible for end user to delete their account, only administrator can do such action.
Thanks,

Is the only way a user can be 'blocked' is through the method above?
Hi Karen,
Yes, that is correct, this is the only standard way to block users in Brightidea. The only other possibility is if you work/worked with our Technical Services team to scope something custom in regards to blocking users (e.g. a mass user block).

so super crazy … because we have nearly 4,500 blocked users right now (Yikes!). is there a way to 'unblock' in a group rather than 1 by 1?
Hi Karen,
There is no way to mass unblock users in Brightidea. Only method to unblocking users is what is mentioned in this article.
If that many users need to be unblocked at once, it would require custom Technical Services scoping with our team or if you have developers on your side, they can utilize our public API to write their own code for this purpose.

Hi Ron - If we did engage Brightidea any idea of turn-a-round time and cost?
Hi Karen,
This is something that would need to be scoped out with our Technical Team, they would be able to provide the time and cost. p
Please reach out to your Brightidea Account Manager if you are interested with moving forward on this request.
