Departmental Idea Box


The Departmental Idea Box is a powerful new app designed for teams that maintain an always-on, continuously open idea management system. This innovative solution enables leaders to streamline and organize incoming Ideas through a single Initiative, which—based on automated rules configured by the Pipeline Admin—will categorize and route those Ideas into one of three pre-configured Sub-pipelines: Quick Win Pipeline, Backlog Pipeline, and Strategic Initiative Pipeline.

By providing this structured workflow, the Departmental Idea Box app empowers teams to prioritize effectively, focus on impactful outcomes, and maximize the potential of their Idea management efforts.

To enable this application within your platform, contact your Customer Success Manager. 

Read through the sections below to familiarize yourself with the capabilities:

Getting Started 

  • To get started, System Admins can navigate to Command Center > Products > Idea Box and select the Departmental Idea Box app. 
  • Follow the steps using the Setup Wizard and input the required information to complete the creation process.

Pipeline Setup

  • Each new Departmental Idea Box is pre-configured with Stages and Steps in the Pipeline that can be managed from the Pipeline Steps view.
  • The initial Collection Stage has a simple setup with the goal of initial review and rating.
  • After the initial review and rating, Ideas will move to the Step that corresponds to the appropriate Sub-pipeline under the Selection and Transition Stage. 
  • Note: Pipeline Admins must create a rule to match the routing to the correct Sub-pipeline to ensure fully automated management of Ideas.

 

Sub-pipeline Overview 

By providing Sub-pipeline functionality, Brightidea helps our clients better manage the relationships and workflows between multiple workflows. The Departmental Idea Box app includes three pre-configured Sub-pipelines to assist in managing this process- each Sub-pipeline is automatically created and configured with a dedicated workflow. 

Each Sub-pipeline's Steps view is directly linked as a navigation item on the Site Homepage. By default, these navigation items are pre-configured to be seen by Admins only. The Sub-pipelines can also be accessed from Pipeline view pages.

 

Quick Win Pipeline 

The Quick Win Sub-pipeline is intended to siphon off Ideas that are simple for your team to execute-these Ideas should have a low level of effort, align with business priorities, and won't distract the team from larger imperatives. 

The initial Collection, Evaluation, and Selection Stages assist in further refining Ideas before they move on to the Implementation and Completion Stages.

As a helpful tip, we recommend leveraging the Rules Engine to automatically create a Project Room to aid with the coordination and management of the proposed Idea.

 

Backlog Pipeline 

The Backlog Sub-pipeline is intended to house Ideas that the team has determined are valuable, but will need to be stored and organized within a structured backlog prior to consideration and/or mobilization on the Idea. 

The initial Collection and Evaluation Stages are pre-configured and aid in the screening process before the Ideas are organized into separate work streams. These work streams can align with the Pipeline's Categories, individual prioritized projects within the business, different Departments, etc.

As a helpful tip, we recommend leveraging the Top Ideas and/or Whiteboard's Smart Matrix features to perform regular backlog management to clean out and surface top Ideas and/or recurring themes. 

 

Strategic Initiatives pipeline 

The Strategic Initiatives Sub-pipeline is intended to house larger strategic projects that the team needs to scope and agree on throughout execution. To aid in this effort, the Departmental Idea Box is built to include our Stage and Gate Approvals feature.
